Why Some Implementation Of ISO 9001 Standards Fail?
Would you go for a driving test without having read the highway code? Of course not.
As a Senior lead auditor with the UK’s largest certification body for many years I would estimate that one in ten organisations visited did not have a copy of the appropriate ISO 9001 standard for which they were seeking registration, some had a copy but openly admitted that they had never read it, others had read it, didn’t understand it, and just did what they believed to be in the standard. Many businesses just forget to carry out internal audits or carry out the ISO 9001 standard training of their employees to give them a basic understanding of what ISO 9001 is all about.
When these applicants failed their initial registration audit they seemed shell shocked and could not understand how they could fail. Quite simple, it is rather like turning up for an “A” level exam having not read the syllabus, failed to do any home or course work and expecting to pass. A good consultant will ensure that your business does not fall into any of these traps.
The U.K. British Standards Institute, estimates that 45% of the companies who fail to achieve certification do so because of documentation deficiencies. The ISO 9001 is very specific about what documents have to be produced and which records have to be kept.
The remaining 55% of failures are in-part related to documentation in areas such as policies and procedures for process, inspection, testing and measurement. Employing a consultant would have prevented failure and the additional costs of a full registration body re-assessment.
The ISO 9001 standard is very specific about what documents must be controlled and in general you will find that they fall into the following three areas
Documents which describe the Quality Management System within your organisation
Documents of external origin which you use in the process of producing your product or service such as ISO standards, drawings, specifications etc.
Records which you must keep are generally recorded on forms, in books or in electronic format, all of which must be controlled.
If documentation control is an issue that concerns you then take a look at the Easy ISO 9001 software, it will take care of this for you and much more.
Based on our experience, we believe that ISO 9000 certification will become increasingly important, particularly if companies are to remain competitive in the global economy.
How To Meet ISO 9001 Quality Standards?
The ISO, or International Organization for Standardization, was established in 1947 to develop international standards for everything from electronics to management systems. Having over 13,000 standards currently in place, ISO has created the auditing and certification process known as ISO 9001. This began the drive toward quality standards.
Companies choose to implement ISO 9001 and get certified because many customers and industries require it. By keeping customers happy, they can increase sales and profitability for their business. And if an area of the company’s program appears to be too bureaucratic and non-value-adding, then it might also be an area for continuous improvement efforts.
Both customers and industries alike use ISO certification as a way to evaluate and audit their suppliers and products. Through an independent verification process, customers can gain assurance of their suppliers’ products. And as a supplier becomes certified, the testing requirement is waved, which saves the company both time and money.
Employed as a “Best Practices” model, ISO 9001 utilizes the philosophy of the “Plan-Do-Check-Act” continuous improvement cycle to achieve requirements. This process approach centers around eight quality management principles used by management as a guide toward improving performance and identifying the main elements needed in a good quality system:
1. Customer Focus
2. Leadership
3. Involvement of People
4. Process Approach
5. Systems Approach to Management
6. Continuous improvement
7. Factual Approach to Decision-Making
8. Mutually Beneficial Supplier Relationship
ISO 9001 policies, procedures and forms can provide employers, managers and employees with a systematic and consistent approach to implementing policies, plans, procedures and work routines. Instead of building their own policies and procedures from scratch, some companies prefer to hire professional writers that have already prepared a set of written policies and procedures to help on the way to certification.
In the certification process, an independent registrar will perform an on-site audit of a company’s operations to verify that it complies with the ISO standard. If the business complies, then that company will be registered as ISO 9001 compliant.
On the way to certification, a business can meet its ISO needs by:
1. Using well-defined processes and procedures to build stable processes
2. Training in the audit and certification process
3. Continuously improving with ISO 9001 standards
With complete procedures manuals for ISO 9001 Quality Management System, required HR procedures, and an ISO training class, a template like an ISO 9001 Quality Manager Procedures Manual Series can help a business on its way to ISO 9001 certification. Sometimes the effort can be very great, but companies typically notice a remarkable difference in efficiency and effectiveness after the first year.

Quality Management System To Improve Business Performance
A process is any activity or set of activities that uses resources to transform inputs to outputs. For organisations to function effectively, they have to identify and manage numerous interrelated and interacting processes. The “Process Approach” is the systematic identification and management of the processes employed within an organisation and particularly the interactions between such processes.
In order to lead and operate an organisation successfully, it is necessary to manage in a systematic and transparent manner. Success can result from implementing and maintaining a management system that is designed to continually improve performance while addressing the needs of all interested parties.
Eight quality management principles that can be used by management in order to lead the organisation towards improved performance are outlined below:
Customer focus
Organisations depend on their customers and therefore should understand current and future customer needs, meet customer requirements and strive to exceed customer expectations.
Leadership
Leaders establish the purpose and direction of the organisation. They should create and maintain the internal environment in which people can become fully involved in achieving the organisation’s objectives.
Involvement of people
People at all levels are the essence of an organisation and their full involvement enables their abilities to be used for the benefit of the organisation.
Process approach
A desired result is achieved more efficiently when activities and related resources are managed as a process.
System approach to management
An organisation’s effectiveness and efficiency in achieving its objectives is attributed to the identifying, understanding and managing interrelated processes.
Continual improvement
Continual improvement of the organisation’s overall performance should be a permanent objective of the organisation.
Factual approach to decision making
Effective decisions are based on the analysis of data and information.
Mutually beneficial supplier relationships
An organisation and its suppliers are interdependent and a mutually beneficial relationship enhances the ability of both to create value.
These eight quality management principles form the basis for the quality management system standards within the ISO 9000 family.

This is probably the most time-consuming and difficult aspect of any ISO implementation project. Many questions may arise as to what processes must be be controlled, what should be an effective control, how best to communicate and implement it, the inter-process impact, how to set process goals and objectives and what records to keep. Here is where using external ISO 9001 consulting will significantly help in answering these questions, provide focus and speed up implementation.

Standards Certification In Business
In our business we often need to describe our policy and practice regarding quality of service, responsibility towards environment and employees health to our clients. There are three set standards i.e. ISO 9001, ISO 14001 and OHSAS 18001 accepted globally.
ISO 9001 is the internationally recognised Quality Management Standard for all types of organisations. It’s all about managing your processes and continually improving the way you do things. It doesn’t require you to change any of your operating procedures or do anything that isn’t good practice. It simply asks you to “Say what you do, and do what you say”.
ISO 9001 is by far the world’s most established quality framework, currently being used by over ¾ million organizations in 161 countries, and sets the standard not only for quality management systems, but management systems in general.
Having ISO 9001 certification demonstrates that your organisation is well managed, knows where it is going and has a plan to get there. Also, having a plan means you are far more likely to succeed.
Certification to the ISO 14001 Standard demonstrates your ‘Green’ credentials to the world at large and your customers in particular. It gives them the confidence to know that behind the certificate there is an organisation that is aware of its environmental responsibilities and is doing everything it can to minimise any adverse impact.
ISO 14001 standard is applicable to any organization that wishes to:
- implement, maintain and improve an environmental management system
- assure itself of its conformance with its own stated environmental policy (those policy commitments
- of course must be made)
- demonstrate conformance
- ensure compliance with environmental laws and regulations
- seek certification of its environmental management system by an external third party organization
- make a self-determination of conformance
OHSAS18001 sets out the requirements for an Occupational Health & safety Management system that enables organisations to control physical, work related risk, protect employees’ health and improve business performance. It requires the creation of a relevant Management System and has been developed to promote best practice in this field.
Obtaining OHSAS 18001 demonstrates that you have:
· procedures for risk assessment, risk control and hazard identification
· structured health and safety training and required competences
· emergency procedures and response mechanisms
· formal communication channels for disseminating health and safety information
· performance measures and improvement plans
Achieving ISO compliance and certification can take significant amounts of time but should prove valuable for companies interested in successful global networking and high levels of customer satisfaction.

Quality Product By ISO 9001 Certification
The International Organization for Standardization (abbreviated to ISO) conducts standards for institutes which are organized in more than 159 countries across the globe. The ISO has its head office in Geneva, Switzerland. In simple terms ISO certification is given to an organization in order to indicate that the organization has good standards and it is working well with its employees and its customers. The International Organization for Standardization is not a Government organization. It acts as a bridge in between the private and the public sector and brings out good standards for many organizations across a variety of industries.
There are many standards that are released by the ISO. One of the standards is the ISO 9001 certification. The reason why an organization may require the ISO 9001 certification is to ensure that the company has a very good quality management system in place and can then confirm this to their customers. Also, if an organization has ISO 9001 certification it can ensure to its suppliers that it is following a good standard regarding it’s quality management system. The main two reasons for going for the ISO 9001 certification are to show how effective a company’s production is as well as helping to give good recognition for other new markets concerning their company standards.
The main aspects of ISO 9001 certification are maintaining good quality of products and also to maintain low cost and high efficiency for the production process. The primary thing that is checked with ISO 9001 certification is to confirm that the quality goals that are set out in the company’s quality management system are met. It is also important that once a company gets its ISO 9001 certification they should be seeking to improve all the time. There should be an increase in productivity as well. The goals of ISO 9001 certification are to increase the efficiency, increase the revenue, establish proper decision making, achieve good supplier relationships and prepare documentation work about the company plans, a regular improvement process should be in place and on the whole a complete customer satisfaction system should be implemented.
The ISO 9001:2008 certifications have a few revised benefits and let us see a few of them in detail. The goals of the ISO 9001 are the same for all year where as a few enhancements will be added for every year. Likewise the ISO 9001:2008 certification’s benefits include cost reduction in the production of goods, greater customer satisfaction, improved product efficiency and improved productivity, reduction in the scrap and waste products. The aim is to prepare a quality product which passes the goals of the quality management system. The ISO 9001 certification itself should result in the reduction of customer claims, a proper delivery to the customer on time, providing great reliability, safety and quality to the products. So on the whole the ISO 9001 certification has many good policies for the organization and they are also ensuring that the quality of the product should be good, efficient and cost effective, with an increase in the productivity.

Implement ISO 14001 To Reduce Carbon Footprint
Around the world people and their governments are concerned about climate change and global warming. During 2009 there is a series of international meetings preparing for the next climate change agreement to be hammered out in Copenhagen in 2010. This will be a very critical meeting because the planet is fast approaching a “tipping point” when it will be too late to pull back from very serious climate change.
So what does this mean to business and particularly small business? Small business is the backbone of economies around the world and cumulatively is responsible for an enormous amount of carbon emissions even when they are small and “just office or home based”. In fact office based business is responsible for 30% of greenhouse gas emissions. This is far more than transport which is the most obvious target for concern.
When a small business systematically addresses all its activities and looks at the carbon and other environmental impacts of each, the business can remove a large amount of waste and preventing waste is what also saves money. If you can reduce your electrical waste by 20% you will reduce both your greenhouse emissions and your power bill by that same 20%. And electrical consumption is just area that can be looked at.
If this is to work effectively the business will need to work with all employees to change the culture and raise awareness of green issues. Commencing some green training for all personnel helps them to understand and accept the reasons for the changes and know what is expected of them.
Many people feel that they want to go beyond carbon emissions because they realise that there is more to the environment than just emissions. In this case the business may want to take their planning a step further and implement and environmental management system. This works even better when an effective feedback loop is included so that when mistakes of any kind are made, the business looks at the root cause or real reason that they were able to happen then remove that cause.
Many businesses take their environmental management system a step further and have it independently audited to ISO 14001 which is the international standard for environmental management. It is important to keep the system simple and low in paper because otherwise it is unlikely to work effectively in the long term.
A simple and effective environmental management system can save a small business for more than the cost of implementing and maintaining it and it also saves time and money. Reducing your carbon footprint saves money but a full management system saves even more and achieves an internationally recognised green certification, ISO 14001.
